What to type on a calendar event

Everyone looks at the calendar first. It has to answer "is this actually booked?" without anyone opening a thing.

The whole rule

Put the status first.
No tag means it is booked.

Three words to remember. If an event is fully booked, leave the title clean. If it is not solid yet, say so at the front.

The three tags

That is the entire list. Nothing else goes in front of a name.

It is booked. Money and a signature are both in.

HELD

The agreement and deposit are out, and we are keeping the dates for them.

The one that needs following up. The Booking Sheet uses the same word.

INQUIRY

Someone asked. That is all so far.

Nothing is held. Another group could still take these dates.

Colour is a bonus, not a requirement

If you want it readable from the month view without opening anything, set the event colour to match. The tag is what counts, so never worry about getting the colour on. Tag it and move on.

The Sheet uses the same three words

Inquiry, Held, Confirmed. One word on the calendar, the same word in the Booking Sheet.

→HELD is Held

→INQUIRY is Inquiry

→Older events tagged PENDING or QUOTED still show correctly on the board. Use HELD from now on. Whether a quote went out is tracked on the Inquiries page.

Never put these in a name

The board matches bookings by name. Anything extra makes the same event show up twice.

×Any status word other than the three above.

×Headcounts, prices, or reminders. Those go in the description.

Two more things

✓Same group, second visit? Same name. The dates make them different bookings.

✓Units go in the description, one per line. The board reads them.

✓The board strips the tag off. You get "Dirk Family Reunion" on the board, not the tag. Write it once here.
