Folk Fest

Friday, October 3, 2026 · one day · the first public gathering the campus throws for its own community. Working name in the room: Folk Soul — not locked.
What this is · one paragraph

Music, dance, and art for everybody — folk as the people, not a genre. The warmth of an Oktoberfest without the beer focus, the whimsy of a country fair without the kitsch. Local artisans, local food, local musicians, all generations, mountains behind. Nothing like it exists out here yet: the first thing held on this land that says anyone who's feeling it, come.

Draft raw material from the 08.05 room. Austin owns the final paragraph — it gets written before the aesthetic, the flyer, and the vendor call, because all three follow from it. Due at the Aug 13 kickoff.

Who produces
Co-produced
We hold the land, the vision, and the quality filter. Common Ground brings production systems, vendors, and the network. Jamaica leads production.
The name
Its own
Durable, not "Common Ground" and not "Boulder Creek." Frontrunner: Folk Soul. Co-branded as producers.
Cars
Park front + shuttle
The biggest constraint. Park at the front, walk in; car pass priced to keep vehicles off the land. Cars never reach the gathering ground.
Stay option
Room add-on
Ticket + room-stay upsell = the booking system's first live public test. If rooms sell out, ~50 wood camping spots (Emma's wedding clearing) can open in the final two weeks. Not the pond.

Alignment session + kickoff · 10:00am · virtual
Jamaica's four layers — ethics, guiding principles, right fit + timing, then agreements and reciprocity. This is where money, splits, and roles get written down. Everyone brings ideas and a mood board. Austin brings the paragraph.

Marketing opens
Two graphics, same week: the save-the-date and the vendor call. Vendor outreach starts from Common Ground's remixed templates. Promotion can run long before tickets go live.
Wed Aug 19
Site walk + place the map · 8:30–11:00am · on campus
Walk it together, drag the Canva blocks: stage, vendor row, gate, parking, photo op. ITB course is on campus that day — fine. Assign the five unowned lanes before this meeting ends.

Music potluck · the soft rehearsal
20–27 people, open-mic feel, ~$10 + a dish. Fiddler Red, Michael's gear. The Ware girls' first hosted event. Everything we learn feeds Oct 3. Confirm no collision with Amanda's Cedar Chalet stay (8/27–30).
Sep 11–14
Shiloh Echo · the case study
300+ people on the upper campus, camping spots opening. We watch: parking, bathrooms, roads, where people gravitate. Design Oct 3 small enough that nothing Shiloh teaches us can break it.

Build + paint week · proposed
The Jackson crew (Jessie + friends) out for 4–7 days: signage painting, stage finishing, building touch-ups. "Sipping painters" — remote work till 3, paint till dusk. Fills the unowned build lane.

Folk Fest
Gates open. Year-one goal from the master plan: 500–800 through a gate was the old solo model — the co-produced reality is 100–250, done beautifully, zero burnout, everyone paid, and a calendar exhibit no deck can fake.

Creative director. Bird's-eye vision, the stage, buildings activated, signage direction, vibe + cohesion, year 2-3-4. Directs the build; does not swing the hammer.
Ryliere•world
Beauty + experience. Graphics, flyers, visual storytelling, physical space design, day-of experience detail. Owns everything on the property. Also: verify the beer/wine license scope.
Hattiere•world
Galvanizer + host. People collecting, volunteer rallying, language + storytelling, everyone-belongs energy day-of. Learning sponsorships with Natalie.
Rogerre•world
Systems. Registration + ticketing, the room-stay add-on, site maps + layouts, comms systems, dumb-proofing, grounding. Walks the Adam interface until someone else is named.
JamaicaCommon Ground
Production lead. Logistics + ops at all scales, the shared production matrix, vendor coordination + logistics letters, the collaborator weave — 50 volunteers without chaos.
NatalieCommon Ground
Crowd + story. Gathering Sandpoint + the homeschool network, socials, vendor storytelling, outreach marketing. Owns everything about the people coming. Learning sponsorships with Hattie.

Stage, signage, fabrication. The woodworking shop exists, the Ware girls want to paint, the Jackson crew is proposed. Needs one named lead by Aug 19.

Nobody has named a number. Who eats a loss, how a surplus splits, ticket pricing, vendor fees. Settles at the Aug 13 alignment session.

The barn = the food hub
Food trucks + vendor stalls line the back drive (~5 vendors so everyone earns). Take your plate, eat inside the barn. Nothing produced in the building — every vendor licensed and self-contained, DEQ-clean.
The stage
Mobile bar converts to the stage. Picnic blankets on the lawn. Austin keeps calling it "the thing that carries us to next year" — build it like that.
Barn face = signage + photo op
Hand-painted festival sign between the window and the door. Tara's costume closet pops up alongside — whimsical photos people post for us. Strip a plywood panel first: the original dark barn may be underneath.
Contained footprint
Lower campus only; the upper property could have a normal Saturday and never notice. Don't let people spread — a spread-out 150 feels empty, a contained 150 feels alive. Expand zones only past a headcount threshold.
Gate + parking
Cars park at the front lot, everyone walks in. Off-site + shuttle if numbers ask for it. Car pass priced high on purpose.
Money + rules
The frame, before the alignment session writes the numbers
  • Ticket concept (draft, from the master plan): entry ~$30 · kids ~$12 · family ~$75 · parking ~$10 · room-stay add-on at rate card. All numbers settle with the budget at the Aug 13 session.
  • Everyone gets paid. Vendors keep their sales minus a stall fee; artists get lodging as comp; nobody works out of pocket. Sponsorships (Hattie + Natalie) offset production.
  • Venue economics: the proposed large-event structure (per-head ladder vs % of gross) is drafted in the pricing decision log — not confirmed with Adam. Don't quote it as settled.
  • Gate — Adam's yes, specifically. Public + ticketed, headcount, parking plan, neighbor outreach, alcohol posture. He approves anything remotely aligned, so bring him the specific shape early. Nothing external before this.
  • Gate — alcohol. Beer garden is an open question, not a plan. Catering license exists; beer + wine may be sellable in one building — Rylie verifies before anything reaches a flyer. DEQ noise stays at zero.
  • Gate — neighbors first. Invite them in before the public announcement: "would you like to be involved? Do you sell something?" Neighbors have huge power here. Cheap insurance, real goodwill.
