How this gets used
- NOT public. The relationship benefits from personal delivery: the booking owner sends it after the first exchange, with a one-line personal note.
- The public form stays at 3 questions. This is step two, for groups that are real enough to plan with.
- 12 questions max. Every question earns its place with a why-we-ask line - guests answer more honestly when they know why we ask.

About your group
- How many people are you bringing, and how firm is that number? Why we ask: we sleep 123 across seven very different buildings. Your count picks your buildings, and a range is a fine answer.
- What dates are you looking at, and how flexible are they? Why we ask: a week of flexibility can open better spaces and better rates.
The event
- What kind of gathering is this? (retreat, training, wedding, reunion, celebration, something else) Why we ask: a wedding and a leadership intensive use the same campus very differently.
- What does a typical day look like, roughly? (sessions, ceremony, meals, free time) Why we ask: we match rooms and outdoor spots to your rhythm, and we set up before you need them.
- Are facilitators or leaders coming with you, and what do they need? Why we ask: teaching setups, quiet prep space, and where the leaders sleep are the details that make a program feel smooth.
Lodging
- How does your group like to sleep - private rooms, shared lodge rooms, or a mix? Why we ask: we have chalets and suites and big lodge dorms. The mix shapes the quote more than anything else.
- Anyone who needs particular care in placement? (limited mobility, light sleepers, families with small kids) Why we ask: some buildings suit some people better, and we would rather place them right the first time.
Spaces and amenities
- Which of these do you want in your plans? (check all) Sauna and pond · trails · sports courts and open fields · the fire pit · outdoor ceremony field · indoor session space · [CONFIRM final amenity list against current inventory - volleyball and pool appear in early drafts but are not verified in the rate canon] Why we ask: some spaces book by the day, and the ones you name get held for you.
Food
- How do you want meals to work - fully cooked for you, cook-your-own, or a mix? Why we ask: our catering is a highlight (people are genuinely surprised), and self-cook kitchens are real too. The answer changes cost and the day's shape.
- Any dietary needs we should plan around? Why we ask: north Idaho is remote. We shop before you arrive, not after you tell us.
Budget
- What budget range are you working with, all-in? [ranges TBD off the rate card - CONFIRM brackets with Roger before send] Why we ask: an honest range lets us propose the version of this place that fits it, instead of the biggest version.
The early flags
- Anything complicated we should know about now? (alcohol, minors, filming, pets, insurance asks, late-night sound, anything) Why we ask: almost everything is workable when we know early. Surprises are the only thing that is hard to host.
After they answer
Booking owner replies within [CONFIRM SLA - the comms standard implies fast] with either a proposed shape + the info packet (26-0717-INFO-PACKET-OUTLINE.md) or a call invite. The questionnaire feeds the booking sheet directly - same fields, no retyping.
