One Booking, Start to Finish

The Sheet page tells you what every column means. This one shows you when to touch them, using a real booking that is on the campus this month. Follow it once and you can run any booking.

Amanda's Retreat

A women's retreat in the Cedar Chalet, August 27 to 30. It is the first facilitated event Boulder Creek has run, so every step below actually happened. The rows shown are the real ones.

Every booking ends here, at a door with someone's name on it. The five steps below are how it gets there.
1She asksWhoever picks it up

An email or a form comes in. Somebody wants dates. Nothing is promised yet. Make the row now, even though almost nothing is known, so the ask cannot get lost in an inbox.

The dates work and the campus fits. You send a quote and put the dates on the calendar so nobody double books them. The dates are now spoken for, but no money has moved.

The board shows: the chalet blocked those nights, and a deposit that has not landed. If arrival gets close and it still says FALSE, the board raises a flag on its own.
3Money and a signatureWhoever is quoting

The deposit lands and the agreement comes back signed. Both. Not one. A yes on the phone is not this step, and neither is a deposit without a signature.

The board shows: confirmed, deposit in, and the flag clears itself. This is also the moment her guest sheet gets sent.
4The count firms upWhoever owns the guest

Two weeks out you need a real headcount. Until you have it, the number in the row is a guess, and the Sheet has a column that says so. Put the column name in assumed and the board marks that cell as unconfirmed instead of letting a guess look like a fact.

When the real number arrives, change party_size to it and empty the assumed cell. That is the whole move.

The board shows: "headcount not confirmed" until the day you clear it. No guessing about whether anyone chased it.
5They come, they goWhoever hosted

Balance settles at arrival. After they leave, the last thing you do is write what happened in notes, in your own words, for the person who runs the next one.

The board shows: the note on the detail panel, word for word. That is how the next host learns something without a meeting.

Three Words For Status

These are the only three words on the Sheet today, and they are enough. Each one means a real thing changed in the world, not how anyone feels about it.

Quoted and penciled in. No money yet, so it can still fall through.

Deposit and signature

Both in hand. Anything less is still Held.

Not in use: Open, Qualified, Quoted, and Pending contract appear in some older notes but are on zero rows in the Sheet today. Do not start using them. If you see one, it is safe to move it to the nearest of the three above.
